      A global brewing company turned to us when it needed to implement e-invoicing in Belgium before the mandate went live in January 2026. Fail to comply and it could face big fines. Fail to implement an effective system and delayed invoices could impact its entire supply chain.

      The roll out was complicated by the fact it was hooking up a state-of-the-art e-invoicing solution with a legacy version of SAP.

      Meeting e-invoicing deadlines for Belgium


      Our client, a global brewing company, engaged us to help it implement e-invoicing in Belgium – one of its biggest markets. Failure to comply can result in fines of up to 5,000 euros for each offence. A failed implementation could also delay the release of invoices and impact its entire supply chan.

      The company was still undergoing a transition to the latest cloud-based version of SAP. But it couldn’t wait for this to be completed before implementing e-invoicing. So, we were tasked with helping it integrate a state-of-the-art e-invoicing system with a legacy version of SAP.

      The requirement was to hook up a state-of-the-art SAP Document Reporting and Compliance (DRC) solution with almost the oldest version of SAP. They were undergoing a migration to the newest cloud version of SAP. And they knew it would take time. But the legislative mandates wait for nobody.

      Face time makes the difference


      Many businesses haven’t yet experienced e-invoicing. Our client’s teams were used to handling XML code. So, we developed a user manual to give them a firm understanding of how the XML related to what appeared on the final PDF invoice that went to clients.

      The changes required by the e-invoicing regulations meant that the client’s team had to adjust how they operated.

      What really made the difference was getting a lot of face time with the teams — when we were in a room together, in a workshop, just looking at the issues, we were able to understand some of the reasons why the client teams were adamant about their requirements. And we were able to reach a compromise.

      The e-invoicing solution went live on time for the 1 January 2026 deadline. On go live, 92% to 95% of invoices that were generated were successfully submitted without errors. And there were no rejections from customers.
