The Client

A new fund management company is seeking an Operations and Administration Manager to oversee and ensure the smooth running of daily operations and administrative tasks. The ideal candidate will be detail-oriented, organized, and possess strong communication skills. They will be responsible for managing operational workflows, maintaining compliance with regulatory requirements, and supporting various administrative functions.

Responsibilities

  • Manage the day-to-day operations, ensuring efficient and effective workflows.
  • Monitor and report on the performance of operational systems and implement improvements as needed.
  • Coordinate with legal and compliance officer to ensure all documentation and operations meet regulatory standards.
  • Support data entry, record-keeping, and the generation of reports.
  • Maintain accurate records of all transactions and holdings.
  • Prepare and distribute regular performance and compliance reports to stakeholders.
  • Manage relationships with external vendors, including custodians, brokers, and other service providers.
  • Negotiate contracts and ensure service level agreements are met.
  • Oversee general office operations, including supplies, equipment maintenance, and facility management.
  • Ensure a well-organized and efficient office environment.
  • Provide administrative support to senior executives, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist in the preparation of presentations, reports, and other documentation for internal and external meetings.
  • Assist with HR functions such as recruitment, onboarding, and employee record management.
  • Coordinate training and development programs for staff.
  • Organize and manage company events, meetings, and conferences.
  • Handle logistics, including venue selection, catering, and travel arrangements.

Requirements

  • Bachelor’s degree in Business Administration, Finance, or a related field.
  • Minimum of 8-10 years of experience in operations and administration, preferably in the financial services or fund management industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with financial software and databases. 
  • Understanding of financial regulations and compliance requirements.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with the ability to handle multiple tasks and prioritize effectively.
  • High level of accuracy and attention to detail.
  • Ability to work collaboratively with a team and build strong relationships with internal and external stakeholders.
  • Well spoken English and Chinese.
